Claude for email outreach planning

A considered outreach workflow starts before the first campaign. Explore how Claude and an Instantly connector can support mailbox monitoring, campaign preparation and safer credential handling.

A practical guide to connecting tools with a clear purpose.

The connection

One connector. A clearer workspace.

Instantly’s MCP server connects an AI assistant to its V2 API. With the right access, the available tools cover accounts, warmup settings, campaigns, leads, emails, analytics and webhooks.

The setup uses a custom connector in Claude settings, rather than a directory listing. Enter your API key privately in the connector settings, not in a shared chat or spreadsheet.

  • API access starts with Growth. A free Instantly account does not provide this connection.
  • Scheduled checks and Google Sheets logging need their own permissions and supported automation setup.

From preparation to launch

Give each stage a clear job.

Consider a setup with 8 mailboxes across 4 subdomains, already used internally for 2 weeks, followed by a planned 3-4 weeks of warmup. Internal activity is a starting point, not a guarantee of inbox placement.

01 / Warmup

Monitor daily

During weeks 1 to 4, track warmup volume, inbox and spam placement, and health scores for every mailbox. Flag changes at mailbox and subdomain level.

Review daily limits, ramp increments and reply rates. Pause or resume individual mailboxes when the evidence calls for it.

02 / Launch

Prepare deliberately

Draft campaigns and sequences around your brand voice and honest claims. Review every line before anything goes live.

Organise lead lists, choose sending windows and set per-mailbox limits. Confirm that your outreach meets applicable privacy and marketing rules.

03 / Review

Keep replies human

Use the unified inbox to organise and triage replies, then review campaign performance weekly.

Keep approval over outgoing messages and meaningful account changes. A connected tool should support your judgement, not replace it.

Read the trend

A setup checklist is not a health log.

A readiness sheet can confirm that all 8 mailboxes have passed DNS, IMAP and forwarding checks. A monitoring tab answers a different question: how is each mailbox performing now?

Readiness: one row per mailbox

Record setup once. Columns N to Q can track Instantly API, Warm-up Enabled, Start Date and Status, with automation where supported.

Monitoring: one row per day

Add a second tab with date, mailbox, warmup sent, received, inbox %, spam %, health score and an action note.

A mailbox at 92% may look healthy in isolation. If it was at 99% three days earlier, that change deserves investigation before you increase volume.

Instantly plan planning

Match the plan to the stage.

For warmup alone, extra lead and sending capacity may not be necessary. These Instantly plan figures illustrate the choice, separate from our website services. Confirm current pricing and inclusions with Instantly before paying.

Growth ($47)

Includes unlimited mailboxes, warmup and API access. A starting option when the immediate goal is warming and monitoring the accounts.

Hypergrowth $97/mo

The option considered for the planned 3-4 weeks of warmup. Its extra value is lead and send volume, which becomes more relevant when campaigns launch.

Starting on Growth saves you $50 for the month and nothing changes in the warmup. Reassess the need for an upgrade in the week you launch.

Safer account access

Keep passwords out of spreadsheets.

A hidden or redacted screenshot does not protect plain-text passwords in the underlying sheet. Bitwarden offers a free personal option, paid team sharing, and browser, phone and desktop access. It is open source and independently audited.

  1. 1. Secure the vault. Choose a strong master password, keep a secure physical backup and enable two-factor login. Do not assume a forgotten master password can be recovered.
  2. 2. Organise the logins. Create an “Outreach Mailboxes” folder and add the 8 mailbox credentials. Use appropriate team-sharing controls if colleagues need access.
  3. 3. Clean up the sheet. Remove passwords from column D and check version history. Create a clean copy without credentials and remove the old file according to your retention rules. Rotate passwords that may have been exposed.

Once mailboxes are connected to Instantly, routine work generally needs less direct access to their passwords.

Know the boundaries

Useful checks before you connect.

Does the connector check DNS authentication?
SPF, DKIM and DMARC checks sit outside the Instantly connector, as does Google Postmaster data. Review them separately using appropriate DNS and reporting tools.
Will daily reporting happen automatically?
Not from the connection alone. A daily log needs a supported scheduler, access to the reporting destination and a tested workflow. Confirm those pieces before relying on unattended monitoring.
Does warmup guarantee inbox placement?
No. Authentication, sending behaviour, recipient relevance and engagement all matter. Use health trends to inform decisions, and make it easy for recipients to opt out.
